We’re looking for a highly organised, detail-oriented, and proactive Administrative Assistant to join our growing real estate team in the Cayman Islands.

This role is essential to the success of our business, providing administrative, operational, marketing, compliance, and office support across our sales, rentals, HR, and property management functions. You’ll work closely with our agents and leadership team to ensure transactions, listings, onboarding, and daily office operations are completed efficiently and accurately.

Responsibilities
  • Coordinate administrative support for the Sales, Rentals, Property Management, and Leadership teams to ensure daily operations run efficiently.
  • Collect, review, and organise due diligence documentation for vendors, purchasers, landlords, and tenants while maintaining compliance with company and regulatory requirements.
  • Prepare contracts, agreements, disclosure forms, and transaction documents for electronic signature, ensuring accuracy and timely completion.
  • Monitor transaction milestones and follow up with clients, attorneys, banks, and other stakeholders to satisfy outstanding conditions before closing.
  • Create, maintain, and organise digital and physical transaction files, ensuring all documentation is complete, accurate, and securely stored.
  • Input, update, and maintain property listings and other company systems, including new listings, price changes, status updates, and listing approvals.
  • Coordinate property marketing administration by organising listing photos, maintaining marketing spreadsheets, and supporting online and print advertising efforts.
  • Schedule meetings, appointments, interviews, training sessions, and team events while managing calendars and meeting logistics.
  • Support recruitment and onboarding by preparing employment documentation, collecting required employee records, coordinating system access, and arranging new hire orientation.
  • Maintain office inventory by ordering supplies, tracking equipment, and coordinating vendors for maintenance, cleaning, pest control, air conditioning, and other facility services.
  • Coordinate the preparation, installation, collection, and inventory management of property signage and marketing materials.
  • Maintain company databases, CRM systems, Dropbox, Google Workspace, and document management systems to ensure accurate and up-to-date records.
  • Handle confidential employee, client, financial, and business information with professionalism, integrity, and discretion.
  • Assist with general office administration, banking errands, key management, courier services, and additional operational duties assigned by management.
Preferred Qualifications
  • Minimum of 3 years of administrative experience, preferably within real estate, legal, financial services, or a professional office environment.
  • Associate’s degree, diploma, or certification in Business Administration, Office Administration, or a related field is preferred.
  • Experience supporting multiple departments within a fast-paced business environment.
  • Excellent organisational, prioritisation, and time management skills with exceptional attention to detail.
  • Strong written and verbal communication skills with a professional and customer-focused approach.
  • Ability to manage multiple deadlines while maintaining accuracy under pressure.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Self-motivated with strong problem-solving skills and the ability to work independently as well as collaboratively within a team.
  • Professional appearance and positive attitude with a commitment to delivering exceptional internal and external customer service.
  • Valid Cayman Islands driver’s licence is considered an asset.
  • Eligible to work in the Cayman Islands.
